We are seeking an Intake Program Manager to support Urban Forestry and Landscaping Field Programs by serving as the central point of contact for clients and new tree stewards. 

Position Summary:

This position will manage a team of 4 to 6 intake and client services coordinators in order to build relationships, focusing on efficient service-delivery, while communicating effectively with field project managers and arborists to ensure client satisfaction.  This position will initially focus on developing a new turf conversion program and eventually manage the entire intake program.

Specific Responsibilities:

      Develop and maintain long-term relationships with clients and stewards;

      Support and implement a customer relations management (CRM) programby using excellent customer and internal relationship skills and drive action plans to ensure a high level of satisfaction, retention, and referrals

      Support the client and steward intake process, while implementing mechanisms to streamline intake processing and project flow between the intake team and implementation teams;

      Ensure timely and accurate maintenance of clientand steward data through the use of excellent documentation, internal resource coordination and communication skills;

      Support scheduling of site assessments, and participate inproject estimating;

      Lead, facilitate and/or assist in the resolution of client/steward problems or concerns;

      Proactively present site enhancement ideas and servicesto existing clients and stewards;

      Regularly meet with clients and stewards to discuss new landscaping projects and past projects;

      Respond to industry and residents’  requests for quotes on nursery plants and coordinate pickups/ deliveries, inventory/availability reports, and open-to-the public staffing;

      Develop accurate estimates and material takeoffs for both new and existing clients as needed;

      Support design team and ensure customer expectations are met while making sure specifications do not exceed budgetary limits.

      Provide day-to-day supervision of coordinators who perform a variety of functions such as: processing stewardship applications; providing general customer service via phone, email, or in person; responding to inquiries for goods and services, scheduling and conducting estimates and site visits, staffing nursery open hours, maintaining  the nursery sales inventory;

      Manage the delivery of goods and services, ensuring OCF quality standards are met;

      Communicate regularly with field managers and staff arborists to ensure that client/steward needs and expectations are consistently met or exceeded;

      Ensure financial goals are met by maintaining acceptable gross margins for contract work and ancillary services; report results to management;

      Participate in meetings, internal events and assist staff in overall leadership of the organization;

      Manage billing/invoicing for goods & services; maintain satisfactory Accounts Receivable levels;

      Other tasks and duties as assigned by Urban Forestry Director.

Required Qualifications:

      Bachelors Degree in a relevant field;

      Two to four years of prior experience working at a non-profit in an office/administrative role or servicing customer/ client accounts in a gardening/ landscaping company, nursery or service industry, including 1 year in a lead /supervisory role;

      Client/ project coordination background and client/ account servicing experience; ability to lead client relationship development and client management;

      Excellent oral and written communication skills and ability to collaborate with staff;

      Excellent leadership skills and ability to manage a team and ensure satisfactory performance;

      Familiarity with plants, trees, landscape horticulture and design; willingness to increase knowledge;

      Proficiency with Microsoft Office suite and Microsoft Windows operating systems;

      Ability to positively represent OCF and maintain good client and community relations;

      Valid Driver’s License and clean record.

Preferred Qualifications (in addition to the above):

      Proficiency in estimating and pricing ancillary goods and services and including maintenance;

      Strong Knowledge of CA Native and drought tolerant plants/ trees that are commonly used in landscaping including care requirements, pest/disease issues, and identification skills;

      Familiarity with the basic principles of landscape design and ability to articulate design ideas to potential clients in the field; ability to create basic landscape designs;

      Proficiency in Google Sketchup and/or CAD software;

      Familiarity with Filemaker Pro and/or databases, inventory management, CRM software;

      A passion and commitment to OCF’s mission and interest in environmental issues;

      Bilingual in Spanish.

Employment Terms:

      40-hour full-time with medical benefits

      $40-$50k annual salary, depending on skills and experience

Seeking a full-time experienced professional to provide administrative support to the President & CEO, as well as handle the day-to-day general administration of a busy nonprofit. OCF employs a team of 10 staff members plus 30-60 full-time community service interns who, together with hundreds of trained volunteers, provide an array of environmental action and education services to benefit neighborhoods, parks, schools, agencies, businesses and residents.

DUTIES

  • Process incoming and outgoing mail.
  • Assist in the recording and processing of invoices, receipts and payments. 
  • Provide support to the contract accounting group.
  • Administer the petty cash system and ensure appropriate record keeping.
  • Prepare and track contracts for suppliers when needed.
  • Maintain general administration filing system – physical and electronic files. 
  • Provide support related to facility management, including security and cleaning services.
  • Prepare and process HR-related paperwork, including personnel file documents, timesheets, EDD communications, and employee benefits.
  • Prepare and process insurance paperwork for fleet and general liability. 
  • Oversee purchase of office supplies and equipment.
  • •    With assistance from staff, oversee the set-up and operation of computers, copiers, IT lines, and phones, including vendor communications.
  • Make recommendations for purchasing decisions and vendor selections.
  • Work alongside other staff to contribute to the development of Our City Forest.
  • Ensure OCF policies and best practices are adhered to, including health and safety, equal opportunities and customer care, at all times. 
  • Schedule meetings and conference calls for President & CEO as needed.
  • Prepare drafts of letters and make phone calls for President & CEO as needed.
  • Copy and distribute reports and documents for President & CEO as needed. 
  • Assist in preparation of meeting agendas and record minutes for OCF meetings as needed for President & CEO.
  • Conduct research regarding administrative or program items, as requested, such as comparing insurance plan costs or updating statistics for presentations.

QUALIFICATIONS

  • Bachelors degree
  • 3 years of previous full-time general administrative or program administration experience
  • 1 year of bookkeeping support, A/R & A/P, and familiarity with accounting procedures
  • Advanced proficiency in Word and Excel; desired skill:  PowerPoint
  • Excellent written and verbal communication skills, including excellent grammatical skills.
  • Ability and experience juggling multiple tasks and meeting deadlines.
  • Works well as a team member as well as ability to take initiative independently.

The AmeriCorps Service Member Program Manager is a key full-time position reporting to the Our City Forest President & CEO, and is responsible for the grant administration duties of OCF’s AmeriCorps service member program.

Position Summary:

This position is responsible for managing the administrative, recruitment, training and grant reporting aspects of Our City Forest’s AmeriCorps service member program. The Program Manager works closely with OCF staff and the granting agency to ensure compliance with AmeriCorps policies, agreements, performance criteria and reporting deadlines. In addition, the Program Manager leads member recruitment efforts, oversees enrollment procedures, ensures satisfactory completion of member service agreements, and arranges training opportunities.  

Specific Responsibilities:

  • Manage the AmeriCorps grant process, advising the President & CEO of items including policy updates and program-related deadlines.
  • Manage the recruitment of a diverse group of 40+ full-time service members.
  • Coordinate with OCF staff to develop and implement an orientation and training plan.
  • Provide ongoing administrative oversight of member activities and compliance with OCF and AmeriCorps policies and regulations including but not limited to: ensuring uniform dress code and professionalism standards are met, maintaining member personnel files; ensuring completion of national background checks; reviewing and finalizing timesheet and performance reports.
  • Maintain various forms, documents and guidelines for members.
  • Ensure timely program and policy communications and updates to all members.
  • Ensure grant compliance with AmeriCorps provisions and regulations and coordinate the AmeriCorps semi-annual performance review and member feedback process.
  • Review monthly grant reports, including financial and inform CEO of concerns.
  • Communicate regularly with California Volunteers around program and member management.
  • Attend annual California Volunteer Conference for training and updates.
  • Participate in weekly meetings with OCF AmeriCorps member supervisors
  • Work closely with OCF staff to understand program needs and member interests.
  • Provide technical assistance and support to OCF staff and members to constantly improve the program, address issues, and optimize member retention and compliance with AmeriCorps policies, procedures and standards.
  • Provide information and referral services for housing and other resources as needed.
  • Develop and maintain an alumni network through regular communication to provide job search and professional development resources and support to current and past members.
  • Oversee the promotion of service member opportunities and team building activities.
  • Track service member hours and determine eligibility for graduation.
  • Oversee creation of networking and social functions for service members.
  • Oversee service member appreciation and recognition programs.

Qualifications:

  • Bachelor's degree required or at least three years equivalent full-time professional or administrative experience in human resources or nonprofit administration.
  • Experience in grant writing and compliance.
  • Strong written and oral communication skills.
  • Strong organizational and interpersonal skills.
  • At least two years of supervisory or volunteer management experience.
  • Proficient in data management software and systems.
  • Excellent computer skills, especially in MS Office applications.
  • Experience in program management a plus.
  • AmeriCorps experience a plus.

We have (2) openings for a Landscape Project Manager to schedule and direct personnel and resources toward providing quality, community-based landscaping services to clients, focusing on turf-conversion projects (install and maintain) primarily for low-income residents. This position also supports the Intake Program Manager in estimating and budgeting as needed, along with providing project support for other field programs within the organization.

Specific Responsibilities:

      Understand client needs via regular communication with Intake Program Manager;

      Ensure that job site quality and appearance meet client and Our City Forest standards;

      Manage all landscape services, including the coordination of all materials, people, equipment, and subcontractors required to produce quality work;

      Inspect properties prior to scheduled service in order to properly prepare specific action plan for service. Adjust schedule as needed;

      Monitor irrigation systems, identify problems or necessary repairs, and communicate recommendations to the appropriate party;

      Monitor all aspects of the landscape, while identifying and troubleshooting plant health problems;

      As necessary, perform hands-on work with crews to meet work and scheduling demands;

      Implement and enforce OCF policies and procedures related to proper upkeep and maintenance, storage, use, and training required for tools and equipment;

      Work with other Managers to identify staffing needs, prepare daily crew schedules;

      Hands-on training and support of crew personnel and volunteers, including proper operation of equipment, planting and pruning techniques, safety, and quality standards;

      Minimize accidents to personnel and equipment; conduct weekly safety tailgate meetings;

      Maintain and manage all required administrative systems including time sheets, schedules, and executed vs. budgeted performance reports;

      Order materials as needed and monitor costs and deliveries;

      Assist with design and implementation for various field and construction projects as needed;

      Collaborate with field staff by proposing ideas to continually improve service delivery model;

      Other tasks as assigned by Urban Forestry Director.

Qualifications:

      1 - 3 years of prior working experience in landscaping, horticulture, tree care or construction industry including at least one year in a lead/supervisory role;

      Basic plant knowledge and proficiency with irrigation systems; ability to support installation, design, and repair of drip irrigation systems;

      Experience providing community-based services and/or working with volunteers;

      Excellent leadership skills and ability to manage a team and ensure satisfactory performance;

      Strong knowledge of planning logistics and operations;

      Excellent oral and written communication skills and ability to collaborate effectively with staff;

      Ability to positively represent OCF and maintain good client and community relations;

      Proficiency in Google Sketchup and/or CAD software preferred;

      Familiarity with Filemaker Pro preferred;

      A passion and commitment to OCF’s mission and interest in environmental issues preferred;

      Bilingual in Spanish a plus;

      Valid driver’s license and clean record; ability to operate large trucks; Class B license a plus.

      Ability to obtain additional industry certifications as necessary.

      Strong consideration will be given to applicants who possess one or more of the following kinds of specialized knowledge: fine gardening/horticulture; landscape irrigation system installation/troubleshooting; fleet/vehicle maintenance and repair; Class B driver’s license; crew supervision and enforcing Cal-OSHA safe operating procedures; Bilingual in English and Spanish.
